- Manage all administrative aspects of the Partners’ firm and divisional obligations, including firm committees and external engagements
- Handle the Partners’ appointment calendars, schedules, coordinate meetings, and handle travel arrangements
- Draft and send letters, memos and other division communications
- Maintain and update area collaboration tools (i.e. SharePoint)
- Develop PowerPoint presentations and create and maintain Excel spreadsheets
- Handle phone calls, mail, e-mail and faxes
- Provide office management support including follow-up on issues relating to computers, printers and fax/copy machines, and maintain office supplies and equipment, ordering office supplies and other office logistics
- Answer questions and refer information requests to appropriate areas
- Determine priorities and make decisions regarding what needs to be brought to the attention of the division leader
- Process payment of invoices and travel and business expense reports
- Handle administrative projects
- Understand, maintain and revise operational procedures relative to office clerical activities and workflow in and out of the area in accordance with leadership team guidance
- May prepare communications and data required for meetings and involvement
- Other administrative duties as needed to support Remote Branch Support and Service Strategic Enablement
May support additional Principles as needed
Skills/Requirements
- High School Diploma or equivalent.
- Secretarial training preferred.
- 3+ years of related experience.
- Strong organizational skills with ability to set priorities and handle multiple tasks.
- Self-motivation and ability to work independently.
- Must have good verbal communication skills and customer service orientation to handle internal and external contacts.
- Must have skills in using office programs such as Microsoft Office including Word, Excel, PowerPoint, Outlook, SharePoint, etc.
Please note: Candidates that live within a commutable distance from our Tempe, AZ and St. Louis, MO home office locations are expected to work in the office three days per week, with preference for Tuesday through Thursday. At this time we are seeking candidates for this role to work onsite or through a hybrid work arrangement out of our St. Louis, MO home campus
