The Verification Letter Specialist I is responsible for maintaining and updating key client account information according to SEC rule 17a-3. The Verification Letter Specialist I position interacts directly with clients, branch teams, as well as other departments within Compliance and other areas of the firm. Responsibilities include, but are not limited to, the following:
- Make appropriate updates to account information as requested by clients via returned verification letters or phone.
- Verify that client instructions are actually being received from the client or someone that is authorized to make changes to the account.
- Interacts frequently both verbally and in writing with clients, branch teams, and home office areas.
- Sorting and imaging of received client verification letters to ensure timely and efficient processing.
- Exercise judgment when reviewing letters returned by the Post Office as undeliverable. Determines if the account needs to be restricted or re-mailed to an updated and appropriate client mailing address.
- Field phone calls from clients, branch teams, and home office areas regarding the processing of client verification letters. Verification Letter Specialists resolve matters directly or diagnose and escalate issues as needed.
- Respond to requests, messages, and service center tickets from clients, branch teams, and other areas of the firm.
- Research matters related to Verification Letters in response to legal and regulatory inquiries.
Skills/Requirements
- High school diploma or equivalent / College degree or equivalent experience required
- Customer service, operations and/or data entry is a plus
- Strong organizational and communication skills
- Capability to quickly gain an understanding, and appropriate application of, processing guidelines/requirements
- Ability to work in a fast paced team environment
- MS Office Suite skills
Ability to quickly gain an understanding of firm utilized systems (CALETTER Webtool, USNA, Service Center, etc)
Working knowledge of firm systems is a plus
Problem Solving
Evaluating returned client verification letter or client phone requests to determine if updates can be made by the verifications team or if client, branch, or other areas of the firm need to be involved in order to verify/update account information.
Communication
Strong written and verbal communication skills are necessary for interaction with clients, branch teams, and other areas of the firm.
*Candidates that live within in a commutable distance from our St. Louis, MO home office locations are expected to work in the office three days per week, with a preference for Tuesday through Thursday.**
