The Workflow Analyst plays a critical role in ensuring Tailored Branch Support (TBS) teams have the right resources in place to deliver an exceptional client and branch experience. This position is responsible for strategic and tactical workforce planning, forecasting, scheduling analysis, staffing model development, and operational support. The ideal candidate is highly analytical, detail-oriented, and able to translate data into actionable recommendations that improve efficiency, service levels, and business outcomes.
Key Responsibilities
Workforce Planning & Forecasting
- Develop and maintain volume forecasts to support departmental staffing and operational planning.
- Analyze historical trends, seasonal patterns, and planned business initiatives to predict future workload demands.
- Create and maintain staffing models that align workforce capacity with business needs.
- Partner with leaders to provide staffing recommendations and influence hiring decisions.
- Monitor real-time and future resource requirements to ensure departments meet or exceed performance standards.
Scheduling & Operational Support
- Generate, maintain, and analyze scheduling and workforce management reports.
- Process scheduling requests, tickets, emails, and voicemails in a timely manner.
- Monitor staffing utilization and proactively communicate resource gaps or risks.
- Support efforts to maintain optimal staffing coverage and service level performance.
- Identify trends and recommend scheduling adjustments based on changing business needs.
Process Improvement & Project Support
- Research and recommend best practices that improve workforce management and scheduling efficiency.
- Support and participate in initiatives, projects, and process changes across Tailored Branch Support.
- Assist in the implementation of new tools, systems, and workflows.
- Collaborate with business partners and stakeholders to improve operational effectiveness.
- Participate in regular stakeholder meetings and provide workforce insights and recommendations.
Professional Development
- Maintain an active development plan focused on growth and continuous improvement.
- Lead regular development discussions with leadership.
- Complete ongoing learning and development activities to strengthen workforce management, analytics, and business acumen.
- Contribute to the evolution of team capabilities through knowledge sharing and continuous learning
Skills/Requirements
- Strong analytical and problem-solving skills.
- Experience working with large data sets and translating insights into recommendations.
- Advanced proficiency in Microsoft Excel.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and organizational skills.
Preferred
- Experience in workforce management, forecasting, scheduling, workforce planning, or capacity management.
- Experience with workforce management tools and reporting platforms.
- Knowledge of operational metrics, service levels, and staffing methodologies.
- Experience supporting business process improvement initiatives.
- Familiarity with Power BI, Tableau, SQL, or similar analytical tools.

A successful Workflow Analyst will:
- Develop accurate forecasting models that account for planned and unplanned volume fluctuations.
- Maintain and enhance departmental staffing models.
- Deliver timely and actionable scheduling and workforce reporting.
- Identify opportunities to improve scheduling efficiency and resource utilization.
- Support the successful implementation of operational projects and process improvements.
- Build strong partnerships with leaders and key stakeholders.
